Purchase Order Generator
Create a clean purchase order with itemised costs and a PDF download.
A purchase order that a supplier can act on
A purchase order is a commitment. It tells a supplier exactly what you are buying, at what price, and where it should go. When it is vague, you get delays and arguments about what was agreed.
This generator produces a clear, itemised PO with the fields that matter, then exports a clean A4 PDF.
How to create a purchase order
- Add your business details as the buyer.
- Add the supplier or vendor.
- Set the PO number, order date and required delivery date.
- List each item with quantity and unit price.
- Add shipping, tax or a discount if they apply.
- Download the PDF and send it.
What the document includes
- Buyer and supplier details, including contact information.
- Ship to address when it differs from the buyer.
- PO number, order date and delivery date.
- Itemised goods or services with quantity, unit price and line total.
- Subtotal, discount, shipping, tax and total.
- Notes and terms, such as delivery instructions or a reference.
Getting the details right
Use a sequential PO number. PO-2026-0042 is easy to reference in emails and easy to file.
Be specific in the item description. Model number, size, colour and quantity. “20 x A4 boxes, white, 80gsm” is a purchase order. “Paper” is a conversation.
State the delivery address. A supplier who delivers to your billing address because that was the only one on the document has followed the instructions you gave.
Include the terms. Payment terms, delivery window and who pays for carriage. If it matters, it belongs on the page.
After the order
Keep the PDF with the supplier’s confirmation. When the invoice arrives, check it against the PO before paying. That comparison is the whole point of the document, and it is much easier when both sides are itemised the same way.
If the delivery arrives as several documents, Merge PDF joins the PO, the invoice and the delivery note into one file. For the seller’s side, the Invoice Generator matches this layout.
Frequently asked
Is the purchase order a real PDF?
Yes. It is generated as an A4 PDF with vector text, not a screenshot. It prints sharply and opens in any PDF reader.
What is the difference between a purchase order and an invoice?
A purchase order is sent by the buyer before goods or services are supplied. An invoice is sent by the seller after. This tool creates the buyer's document.
Can I add shipping and tax?
Yes. Enter a shipping cost if you were quoted one, set a tax label and rate, and apply a discount as a fixed amount or a percentage.
Is there a watermark?
No. There is no branding on the document and no paywall before download.
Can I use it for services as well as goods?
Yes. Put the service description in the item column. Quantity and unit price work the same way.
